WhatsApp AI Reporting

Report a Safety Issue. Just Send a Message.

Your people already use WhatsApp. Let them report what they see in a short conversation — the assistant asks for the photo and location, and your safety team receives a structured observation ready for review.

Simulated

Simulated conversation with sample data. Real WhatsApp reporting needs a WhatsApp Business account connected to your Green Codes workspace, and AI suggestions need a configured AI provider.

Conversation → structured observation

Every part of the conversation lands in the right field.

The conversation stays natural for the worker. Behind it, each answer is stored where your safety team expects it — so WhatsApp reports sit in the same register, with the same numbering and workflow, as reports from the web.

Photos, voice and language

Show it, say it — in Arabic or English.

Photos as evidence

Several photos can be sent with one report and are kept on the record. The assistant asks for one, but a report can go ahead without it.

Voice notes

Voice notes are attached to the report. Where a speech-to-text provider is configured, they are transcribed so the reviewer can read them.

Arabic and English

The assistant answers in the language of the message, and Arabic keywords work as well as English ones.

AI-assisted risk analysis

Suggestions that save time — decisions that stay human.

Where an AI provider is configured, the assistant reads the photo and the text and proposes what a trained reviewer would look for first. Every suggestion is labelled as one.

  • Type and preliminary severityA suggested observation type and a severity of low, medium or high, limited to the values your register allows.
  • A first corrective actionA short, practical action to make the condition safe, written into the record as a suggestion.
  • No AI, no problemWithout an AI provider the report still arrives — with the reporter’s description, photo and location — for your team to classify.

From report to closed action, on one record.

  1. 01

    Received

The report arrives in the observation register, marked as sent by WhatsApp, ready for review.

  2. 02

    Reviewed

A reviewer checks the facts and the AI suggestions, then confirms or changes them.

  3. 03

    Assigned

A corrective action gets an owner and a due date, with reminders as it approaches.

  4. 04

    Verified and closed

The action is completed with evidence and verified before the observation closes.

Business advantages

More reports from the people closest to the risk.

  • Nothing to install

Workers report from the app they already use every day.

  • Seconds, not forms

A message and a photo replace a form that is often filled in later — or never.

  • Reach the whole workforce

Supervisors, operators and subcontractor crews can all report, in Arabic or English.

  • Data you can use

Every WhatsApp report is a structured record that feeds the same dashboards and exports.

  • Less re-typing

The description, photo and location arrive already in place for the reviewer.

  • Same rules as the web

Reports follow your numbering, review and corrective-action workflow.

Privacy and responsible AI

Clear about who sees what.

WhatsApp reporting is identified reporting: the reporter’s number comes with the message. We say so plainly, so workers can choose the channel that suits them.

  • Not anonymousThe sender’s WhatsApp number is stored with the report so the safety team can follow up. For reporting without giving contact details, use QR reporting in Cloud Light.
  • Limited visibilityReporter contact details are shown only to people allowed to review reports.
  • Known numbersIn Green Codes Pro, messages are matched to registered users by default; unknown numbers are refused unless your organization chooses otherwise.
  • AI only when you opt inAI suggestions run only where your organization has an AI provider configured, and a person reviews every suggestion.
  • Lean logsTechnical logs record message identifiers and status, not the message text or photos.
  • Opt out at any timeIn Green Codes Cloud, members can reply STOP to stop WhatsApp notifications and START to resume.
