Safety Observations

Capture unsafe acts and conditions on site, then follow each one to verified closure.

Anyone on site can report an unsafe act, an unsafe condition or a positive behaviour in about a minute — with photos, location and, where enabled, a voice note. Each observation is routed to the responsible company on the project's organization chart, corrected with evidence and verified by the person who raised it.

Overview

Why Safety Observations matters

The challenge

Hazards spotted in the field are often reported on paper, in chat groups or not at all, and nobody can tell which ones were actually fixed. Without a single trail, the same unsafe conditions recur and leadership cannot see where attention is needed.

How Green Codes Pro helps

Green Codes Pro gives every observation a reference, a severity-based due date and an owner taken from the project organization, then runs it through a configurable workflow that requires closure evidence and verification. Reports can arrive from the web form, the installable mobile app (including offline), a printed QR code or, where configured, WhatsApp.

Step 1 of 6: Observe. A supervisor reports an unguarded edge on Level 4 with a photo, location and a short voice note — from a phone, in Arabic or English.

Capabilities

What you can do

21 documented capabilities, each verified against the product.

21 capabilities

  • Workflow

Report from web, mobile, QR or WhatsApp

Observations can be raised from the web form, the installable mobile app, a printed QR code or, where configured, WhatsApp — all landing in the same register.

  • Capability

    Types and severity levels

Classify each report as an unsafe act, unsafe condition, positive, environmental, security or occupational-health observation with low, medium or high severity.

  • Capability

    Photos with captions

Attach up to ten photos or files per observation with a caption on each; large images are compressed in the browser before upload.

  • Mobile

    GPS location capture

Pin where the observation was made using the device location or a map; each client decides whether location is off, optional or required, and the pin prints on the PDF.

  • Mobile

    Voice and video notes

Record a voice note or short video in the app and attach it as evidence; voice notes play in place on the record.

  • Workflow

QR code reporting without an account

Print QR codes for a project or area so visitors and workers without an account can report what they saw; the code decides the project, and the report arrives as a draft for the receiving officer to complete. A name and a phone number or e-mail are requested for follow-up.

  • Integration

    WhatsApp reporting

Where a WhatsApp connection is configured, people can send a photo, text or voice note to file an observation, incident or action, confirming the record type before anything is filed; Arabic keywords work too.

  • AI

    AI suggestions from a photo

Where AI is configured, the reporter can ask for a suggested title, type and risk from a site photo; suggestions fill only empty fields and are reviewed before applying.

  • AI

    AI summary and similar observations

AI can summarise an observation and check whether similar observations have been reported before, to help spot repeat issues.

AI-assisted

Intelligence built in

Where an AI provider is configured, AI can read a site photo and suggest a title, type and risk level for the reporter to review; only empty fields are filled and nothing is saved until the person applies it. AI can also summarise an observation and look for similar past observations.

AI suggestions support qualified people — they never replace professional review, and every decision stays with your team.

Phone-first form with camera capture, in-browser photo compression, GPS location, in-app voice and video notes, and offline capture in the installable web app that syncs when the connection returns.

  • Offline captureCapture an observation without signal in the installable app; it is sent once the connection returns, without creating duplicates and under the same rules as online.

Business advantages

What changes for your organization

  • One register for every observation, whatever channel it came from.

  • Clear accountability: each observation is owned by a named company on the project.

  • Closure is only accepted with evidence and the reporter's verification.

  • Overdue and high-severity items are visible at a glance on the list and dashboard.

  • Positive observations are recorded alongside hazards to reinforce good practice.

  • Observations feed corrective actions, safety alerts, risk reviews and indicators without re-typing.
